
Vendor Terms & Conditions
The Royal Duck Events – Ontario, Canada
Effective as of August 1, 2025

1. Eligibility & Approval
Vendor participation is subject to approval by The Royal Duck team. We reserve the right to accept or decline any application at our discretion. All applicants must be 18 years of age or older and hold any required licenses or permits relevant to their service or product offering.

2. Fees & Payment
Vendor fees (if applicable) will be confirmed upon acceptance. All fees must be paid in full by the deadline provided. Payments are non-refundable unless the event is cancelled by The Royal Duck.

3. Setup & Operations
Vendors are responsible for transporting, setting up, and dismantling their booths or installations. All spaces must be fully set up before the event opens and remain operational for the full event duration. Early teardown is not permitted unless authorized.

4. Legal & Health Compliance
Vendors must comply with all local, provincial, and federal regulations, including those set by Public Health Ontario. This includes but is not limited to food handling, fire safety, accessibility, and business operation requirements.

5. Insurance & Liability
All vendors must carry a minimum of $1 million in commercial general liability insurance and may be required to provide proof. The Royal Duck and its affiliates are not responsible for loss, damage, theft, or injury during the event.

6. Booth & Brand Standards
All vendor booths and brand presentations must align with The Royal Duck’s family-friendly and inclusive environment. No offensive, discriminatory, or dangerous materials or conduct will be tolerated. No open flames or alcohol sales are permitted unless pre-approved in writing.

7. Marketing & Photography Consent
By participating, vendors grant The Royal Duck permission to use photographs, video, or descriptions of their booth and products for marketing and promotional purposes across web, email, and social media platforms.

8. Weather & Force Majeure
As an outdoor or semi-outdoor experience, events are subject to weather and other unforeseen disruptions. In cases of cancellation due to weather or emergency, vendors will be notified as soon as possible. Refunds will be issued only if The Royal Duck officially cancels the event.

9. Accessibility & Conduct
Vendors are expected to create accessible setups and treat all attendees, fellow vendors, and staff with respect. Harassment, aggressive behaviour, or discrimination will result in immediate removal from the event without refund.

10. Governing Law
These terms are governed by the laws of the Province of Ontario and the federal laws of Canada. Any disputes shall be resolved under Ontario jurisdiction.
